Job Description
November 2025 marked the 18th Annual Community Festival held in Three Points/Robles Junction. The purpose of this Festival is to celebrate our community. Participants have included local organizations, artists, crafts people, musicians, an Antique Car Show, Three Points Fire Department, Altar Valley School District, Pima County staff, and more.
The Festival takes place on the Robles Elementary School Property.
The date and time have varied over the years, but it usually occurred in either October or November. Due to our fall months being extremely hot, it has been decided that our next Festival will be held in March of 2027.
In the past, the Festival has lasted four to six hours. Admission has been free, and tickets were sold for families to enjoy the attractions like the Bounce Houses, Rock Climbing walls, and more.
The Community Festival Coordinator plans, coordinates, and executes all aspects of this event, including logistics, budgeting, vendor management, and safety compliance. They oversee site setup, vendor liaison, team management, managing contractors, and securing permits, if necessary, ensuring a seamless experience for attendees.
Job Description Highlights
• Logistics & Site Management: Design the site layout (maps, power, sanitation), oversee setup/breakdown, and manage technical logistics.
• Securing and managing festival sponsors and partners
• Budgeting & Financials: Create and manage comprehensive event budgets, secure sponsors, and oversee contract negotiations. Be available to work with and report to the Friends of Robles Ranch Board.
• Handling marketing, promotion, and ticket sales
• Permits & Compliance: Secure necessary permits (fire, health, noise) and ensure adherence to Pima County and emergency service regulations.
• Vendor Management: Liaise with food/beverage vendors, local community organizations, local business vendors, and local craft vendors to coordinate bookings and on-site needs.
• Create a Team of volunteers to manage the different Festival tasks and responsibilities.
• Safety & Security: Develop emergency protocols, manage security teams, and oversee risk management to ensure attendee safety.
Required Skills
• Problem-Solving: Ability to handle on-site emergencies and last-minute changes.
• Leadership & Communication: Leading teams, negotiating with vendors, and coordinating stakeholders. Must be able to organize monthly team meetings either in person or Hybrid meetings using Zoom or Microsoft Teams.
• Organization, Multitasking and Computer skills: Managing multiple tasks under strict deadlines. Able to manage emails, create spreadsheets, and share information in a PDF format.
Typical Qualifications
• Experience in Project Management, Event Management, Hospitality, or Marketing preferred.
• Experience in Outdoor Events Preferred.
Time Requirement
• Once a month, Festival Team Meeting with more frequent meetings as the event draws near.
• Attend once a month Friends of Robles Ranch Meeting, which is held on the first Tuesday of the month, 6 PM at the Robles Ranch Community Center.
Financial Compensation
• $1,200 to be paid in four installments over a 12-month pay period.
